OptiConnect Privacy Policy

Version 1.0

Your privacy is important to us, and we therefore only process personal data if this is done in a legal and transparent manner. We process only the information directly provided by you. We do not obtain your information from third parties or publicly available sources. In this privacy policy, we will explain to you how we process your personal data, with whom we share it and what rights you have when it comes to the processing of your personal data.

This policy covers the OptiConnect application.

Who is responsible for the processing of my data?

Opticon Sensors Europe B.V. is responsible for the processing of your personal data when you use the OptiConnect application.

Our contact details are the following:

Opaallaan 35, 2132 XV Hoofddorp (the Netherlands)
Chamber of Commerce No. 34064005

If you have any questions about this policy or the way we handle your personal data, you can contact us by email (support@opticon.com) or directly via the application (‘support’).

What personal information does OptiConnect use and for what purpose?

Contact data

If you contact us (by sending an email, via the support option in the application, or in any other way), we may receive your name, email, phone number and any personal data included in the message. We process this data in order to respond to your questions, feedback or requests.

Account data
For you to be able to register an account, we collect data from you, such as:

  • Full name
  • Company name
  • Username
  • Email
  • Password

For safety and security reasons, we require you to verify your account. Your email is requested as part of the account verification process. We have a legitimate interest in doing so, because we want to keep the application a safe and secure space and we want to ensure that accounts are not set up fraudulently. Please note that when you set up your account, you are required to provide this information.

Usage data and scan information
This includes your internet protocol address (IP, collected automatically through the application), time and data of the scan, and data regarding location and file selection permission. After you have established a connection with a Bluetooth scanner for the first time, you will be requested to allow OptiConnect to collect location data. Location permission is required to establish a link between scans and their corresponding locations. You have the option to allow us to collect the exact coordinates or estimated coordinates. Within the scan data settings, you have the choice to discontinue associating coordinates with scan data. Additionally, you can revoke location permission in the app settings. The location data of the mobile device is only stored locally. In this way, you have the option to export the location data when an export file is created from the scan data.

OptiConnect requires permission to access photos and media on your device (Android 13 or an older version) to enable the import of .csv (comma-separated values) files. This allows you to import a complete product catalog, with each row in the file containing the data of a specific product, such as barcode, description, weight, product type, etc. You can revoke the file selection permission in the app settings.

Third party links
The OptiConnect application may contain links to third party websites. You should know that this privacy policy does not apply to third party websites and links. We encourage you to read the privacy statements of these third parties. We cannot guarantee that these third parties will handle your data in a secure manner.

How long do you store my information?
We will retain your personal information only for as long as it is necessary to fulfill the purposes outlined in this privacy policy, or as required by law. Once the data is no longer needed, it will be securely and permanently deleted from our systems. We may also retain aggregated and anonymized data for analytical purposes.

Is my information shared with third parties?
We do not share data with third parties. In the application settings, you can enable the option to store scanned data in a local database.

Is my information safe?
We cannot guarantee that the way you provide us with your data online is 100% safe, due to the characteristics of the internet. We use safety measures to prevent unauthorized access to your personal data. For example, your data is transferred over a secure connection. These measures are evaluated on a regular basis.

What are my rights?
In compliance with the GDPR, you have a number of important rights that you can exercise. Please note, however, that in some circumstances we may ask you to provide additional information, such as a copy of your ID or passport, in order to identify you when we have reasonable doubts about the identity of the person who is making the request.

We shall respond to your request concerning any of the rights mentioned in this section without undue delay and at least within one month of receipt of the request. We can extend this period by two further months when this is necessary, taking into account the complexity and number of the requests. If we decide to extend the period, we shall inform you about this within one month of receipt of the request.

If you have provided personal data to us, you can send a request to view, modify, receive a copy of, delete, and restrict the use of this data free of charge. Have you given your consent for the processing of your data? You can withdraw your consent at any time. You can also object to the use of your data for marketing purposes.

If you wish to exercise any of these rights, please contact us by sending an email to support@opticon.com.

What can I do if I have a question or complaint?
If you have any complaints or questions about this privacy policy or the way we process your data, you can contact us by sending an email to support@opticon.com or directly via the application. You can file a complaint against us regarding the processing of your personal data with the Dutch Data Protection Authority or possibly another authority in your country, when you live in the EU. If you live outside of the EU, you may file a complaint with your local data protection authority.

Will you change this privacy policy?
We retain the right to modify or alter this privacy policy at any time. The latest version will always be available within the application.
